Privacy statement

Sportcentrum VU processes, manages and secures your personal data with the utmost care. In doing so, we comply with the requirements imposed on us by the law on General Data Protection (AVG).

Scope of this privacy statement
This privacy statement applies to the personal data that arises through membership at Sports Centre VU, or your visits to our website, customer portal or social media environments.

Personal data
Sportcentrum VU processes a number of general personal data because you have a membership with us and/or because you provided this data to us yourself. Below you’ll find an overview of the personal data we process:

  • First and last name
  • Date of birth
  • E-mail address

We process these personal details to handle your payment, to be able to grant you access to our web portals and to inform you about your membership or changes in our services (e.g. by sending our periodic digital newsletter). For a first registration everyone needs to identify themselves with a valid ID. No data other than the above will be processed.

Access to the facilities
Sportcentrum VU has a system of access control based on biometrics (finger scanning) or a QR-code with an app. It is important to note that in this process no scans (images) are stored, but a numerical string that the scanner creates based on unique finger characteristics. Conversely, this process does not work; it is not possible to retrieve the unique finger features based on the numerical string. During the initial registration as a member, the clerk will ask the member for permission to take the finger scan. It is also not mandatory; if giving the finger scan is not desired then the member must identify themselves to the front desk at each visit. Upon request, previously taken fingerprints can be removed.

Payment in instalments
At the member’s own request, the option of staggered payment can be chosen for certain subscriptions. To be able to do this the address details of the member are requested.

Athlete tracking system
At the member’s own request, he or she can be included in our sports tracking system. In this system, a number of additional data are collected, namely:

  • Values with regard to body build
  • Blood pressure
  • Stamina
  • Different fundamental movement patterns
  • Personal training recommendations and programs

The processing of this data serves the sole purpose of providing insight into the member’s initial physical condition and its development over time. This information is then used to formulate tailor-made training recommendations and programs. If desired, a member can also view this data himself through our sports portal. Website and web portals
Sportcentrum VU uses functional, analytical and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet or smartphone when you visit a website for the first time. Sportcentrum VU uses cookies with a purely technical functionality. These ensure that the website works properly, for example, your preferred settings can be remembered and they help us to make the website work. They also allow us to optimize our website. Based on web statistics, we look at how the information provided and navigation structure can be improved. This information is not traceable to a person and your identity remains protected. Digital newsletter
Once a month we send a digital newsletter to all our members and relations (former members, business clients, suppliers and other interested parties who have signed up for this) with information about new developments, promotions and any changes in the sports program or rates. At the bottom of this newsletter is an unsubscribe link which makes it easy to remove your mail address from the mailing list.

Camera surveillance
Camera surveillance is used within the Sports Centre. The camera images are used for the following purposes: to combat and prevent fraud, theft and irregularities. The camera images are stored for a period of 96 hours. The camera images can only be requested and accessed via/by the management of Sports Centre VU. Please contact our privacy contact for this.

Provision of data to third parties
Sportcentrum VU only provides data to third parties when this is necessary for the execution of our agreement with you, or to meet a legal obligation.

Viewing, adjusting or deleting data
You have the right to view, correct or delete your personal data. You can do this yourself online via the personal settings of your account(s). If you have other questions or comments about the data processing, please send a specified request to our privacy contact.

Storage period
Sportcentrum VU will not keep your personal data longer than necessary to realize the goals for which your data are collected. We use a retention period of 24 months after the expiration of the membership. After this period your data will automatically be removed or made completely anonymous, so that purchases, visits and other data can never be traced back to you as a person.

Security
Sportcentrum VU takes the protection of your data seriously and takes appropriate measures to prevent abuse, loss, unauthorized access, unwanted disclosure and unauthorized changes. If you feel that your information is not secure, or if there are indications of abuse, please contact our privacy contact.

Privacy contact
The team of Sportcentrum VU has a privacy contact. All questions and/or remarks regarding the collection, storage and security of personal data can be directed to privacy@sportcentrumvu.nl. We will respond to your request as soon as possible, but in any case within ten working days.

Request for inspection
When requesting access to, or changes to/deletion of, an account, we ask that you enclose a copy of your proof of identity with the request for identification. Make in this copy your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and citizen service number (BSN) black. This is to protect your privacy.
